Privacy Policy

How I look after your information

Your trust matters to me, especially given the personal nature of the work we do together. This policy explains, in plain language, what information I collect, why, and how I keep it safe. If anything here isn't clear, please just ask — [email protected].

1. Who I Am

YAY Coaching (You And Yoga) is run by Julie Morris. For the purposes of data protection law, I am the “data controller” — the person responsible for your information and how it's used, across programmes including The Monday Reset, Renewed You, Rooted & Radiant Women, and 1:1 coaching.

2. What Information I Collect

  • Contact details — name, email address, phone number.

  • Booking and payment information — handled through the Hub platform, including membership status and payment history. I do not personally store your full card details.

  • Health and wellbeing information you choose to share — for example, injuries, medical conditions, menopause symptoms, or emotional experiences you mention during intake forms, sessions, or coaching conversations. This is sometimes called “special category data” under data protection law, and I treat it with particular care.

  • Session notes — where I keep brief notes to support your coaching or yoga practice, these are kept privately and are not shared without your permission.

  • Website and email activity — basic, non-identifying analytics (for example, how many people visit a page) if used by my website or email platform.

3. Why I Collect It, and My Legal Basis

  • To deliver the programme or session you've booked (this is necessary to fulfil our contract with each other).

  • To take payment and manage your membership (contractual necessity, and my legitimate business interest in running a sustainable practice).

  • To communicate with you about sessions, scheduling changes, or programme updates (contractual necessity and legitimate interest).

  • To understand and support any health-related needs you share with me, so I can teach and coach you safely (based on your explicit consent, given when you share this information).

  • To send optional newsletters or programme announcements (based on your consent, which you can withdraw at any time).

4. Who Your Information Is Shared With

I don't sell or trade your information. It's shared only where needed to run YAY Coaching, specifically:

  • The Hub — my booking, payment, and community platform.

  • Zoom — for any online sessions or coaching calls.

  • My VA, who supports with scheduling and administration, and is bound to keep your information confidential.

  • Any payment processor connected to the Hub, to process your membership payments securely.

I don't share health or wellbeing information with anyone outside of this list unless I'm legally required to, or you've asked me to (for example, if you'd like me to liaise with another practitioner on your behalf).

5. How Long I Keep Your Information

I keep your information for as long as you're an active client or member, and for a reasonable period afterwards to meet legal, accounting, and tax obligations (typically up to 6 years for financial records). Health-related notes are kept only as long as they remain useful to your ongoing coaching or yoga practice, and are deleted when no longer needed.

6. Keeping Your Information Safe

Your information is stored using platforms with appropriate security measures in place (including the Hub and Zoom). Payment details are handled directly by the Hub's payment processor and are not stored by me. Session notes and personal details are kept privately and are not accessible to anyone outside of YAY Coaching's day-to-day operation.

7. Your Rights

Under UK GDPR, you have the right to:

  • Ask what information I hold about you, and receive a copy of it.

  • Ask me to correct anything that's inaccurate or out of date.

  • Ask me to delete your information, where I'm not required to keep it for legal reasons.

  • Withdraw consent at any time — for example, opting out of newsletters, or asking me not to hold certain health information.

  • Object to how your information is used, or ask me to restrict its use.

To exercise any of these rights, just email [email protected]. If you're not satisfied with how I've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies & Website Analytics

My website may use basic analytics or cookies to understand how it's used. These don't identify you personally, and you can control cookie preferences through your browser settings at any time.

9. Changes to This Policy

If I make meaningful changes to how I handle your information, I'll update this page and, where appropriate, let current clients and members know directly.
